White-Label Contractor Bookkeeping for Accountants and CPA Firms

TradeBookkeepingPro is a bookkeeping-only partner built for contractor clients: HVAC, plumbing, electrical, roofing, landscaping, and general contractors from solo operators through shops with ten crew. We reconcile every account inside your client's own QuickBooks Online file and deliver a CPA-reviewed monthly close by the 15th. You bring the tax and advisory expertise; we handle the books so you get clean, job-costed financials ready to work with, without hiring or training a trade-specific bookkeeper in-house.

Quick answer
  • Bookkeeping only: we do not pursue your client's tax or advisory relationship
  • We work inside the client's own QuickBooks Online file, which the client always keeps
  • CPA-reviewed monthly close delivered by the 15th of every month
  • Refer clients to us or white-label our monthly close under your firm

Why partner with a trade-native bookkeeper

Contractor clients are among the hardest to keep in clean books. Job costing, subcontractor payments, equipment depreciation, and field-service-management tools like Jobber, ServiceTitan, and Housecall Pro all create data flows that general bookkeepers routinely miscategorize. When the close is messy, your tax prep takes longer, your advisory work starts from bad numbers, and your staff absorbs the cleanup cost. A specialized outsourced bookkeeping partner for accountants removes that drag without adding headcount to your firm.

  • Trade-native chart of accounts built for contractors, not retail or professional services
  • Job costing tracked at the project level so you see margin by job at year-end
  • FSM sync connects field-service tools to QuickBooks so invoices and expenses match
  • Monthly close reviewed by a CPA before delivery, not just reconciled and sent

How the partnership works

Two models are available. In the referral model, you introduce your contractor clients to us directly; we onboard them, handle the monthly bookkeeping relationship, and send you clean financials each month so your tax and advisory work is ready to go. In the white-label model, we do the bookkeeping work and you deliver it under your firm's name. Either way, the boundaries are clear from day one.

  • Refer: introduce clients to TradeBookkeepingPro and we manage the bookkeeping relationship
  • White-label: we do the monthly close work and you present it under your firm's brand
  • You keep the client and the tax relationship
  • The client keeps their own QuickBooks file

What you get each month

Each month, your client's accounts are fully reconciled inside their own QuickBooks Online file. A CPA reviews the close before it is delivered by the 15th. You receive a clean profit and loss statement, balance sheet, and job-costing summary ready for tax preparation or advisory review. On the Crew plan and above, FSM tool data is synced to QuickBooks so field activity matches the books. There is no proprietary ledger, no locked export, and no data held outside the client's own file.

What to avoid in a bookkeeping partner

Generalists who skip job costing

A bookkeeper without contractor experience will often close the month without tracking job-level costs. You receive a clean profit and loss statement but no visibility into which projects made money. Tax prep finishes, but the client has no margin data to act on. Trade-native bookkeeping treats job costing as a core deliverable, not an optional add-on.

Partners who poach the tax relationship

Some bookkeeping services use the client relationship as a pipeline for their own tax or advisory work. TradeBookkeepingPro is bookkeeping only. Our sister brand TradeTaxPro is a separate company and we will not pitch your clients on tax services. You keep the advisory and tax relationship, period.

Proprietary ledgers that hold client data hostage

If a bookkeeping partner keeps your client's records in a proprietary system, leaving means losing history or paying export fees. We work exclusively inside the client's own QuickBooks Online file. The client owns the file and can access it at any time, and so can you as their accountant.

Which plan fits your clients

  • Truck, solo operator, 1 to 2 accounts, simple job tracking
  • Crew, growing crew, job costing, FSM sync included
  • Shop, payroll, 1099 subs, AR/AP, priority close
  • Builder, multi-entity, high volume, custom mapping

Partner FAQ for accountants

Do you white-label under our firm?

Yes. In the white-label model, we perform the monthly bookkeeping work and you deliver the close under your firm's name and branding. Your client sees your firm as the bookkeeping provider. We operate in the background inside their QuickBooks file and send you the reviewed close by the 15th each month.

Will you contact my client about taxes?

No. TradeBookkeepingPro is bookkeeping only. We will not offer, suggest, or refer your clients to any tax service. Our sister brand TradeTaxPro is a legally separate company with its own client relationships, and we maintain a strict firewall between the two brands. You own the tax and advisory relationship with your clients.

Who owns the QuickBooks file?

The client always owns their QuickBooks Online file. We work inside their file as an accountant-level user. You retain accountant access throughout the engagement. If the client or your firm ever decides to move on, the full history stays in their file with no export required and no data held back.

How do client referrals work?

In the referral model, you introduce your client to us and we take it from there. We handle onboarding, monthly communication, and the bookkeeping relationship directly with the client. Each month we deliver clean financials to both the client and, with their authorization, to your firm so your tax and advisory prep is ready to go. We do not cross into your advisory lane.

Do you sign a confidentiality agreement or DPA?

Yes. We sign a confidentiality agreement before accessing any client data. For firms that require a data processing addendum as part of their compliance obligations, we accommodate that as part of the partner onboarding process. Contact us at [email protected] to start the conversation.

What trades and client sizes do you cover?

We serve residential and commercial contractors across trades including HVAC, plumbing, electrical, roofing, general contracting, landscaping, and painting. Client sizes range from solo operators to shops with roughly ten crew members. For clients with multiple entities or high transaction volume, our Builder plan is scoped per business. Request pricing at our get-started page to discuss your client roster.
